Staff scheduling
Plan: Included · Where: a staff member's detail page (Manage → Staff → [person]) · Who uses it: managers, admins
Staff scheduling controls who is working when. A staff member's weekly availability decides whether they show up on the calendar with bookable time — and stops customers (or the front desk) from booking someone who isn't in that day.
What you can do
- Set a weekly schedule per staff member — the days and hours they're available.
- Add one-off overrides for exceptions: a day off, a late start, a holiday, or extra hours.
- Keep the calendar and the online booking widget in sync with reality, so only truly-available time can be booked.
How to set a weekly schedule
- Go to Manage → Staff and open the staff member.
- Find their schedule / availability section.
- For each working day, set a start time and end time (for example, Tue–Sat, 9:00 AM–5:00 PM).
- Save. Their column on the calendar now reflects those hours, and those slots become bookable.
How to add an override
Use an override when a specific date differs from the normal week.
- Open the staff member's schedule.
- Add an override for the date — either marking them off or setting different hours.
- Save. The override wins over the weekly schedule for that date only.
Tips & best practices
- Set schedules before you go live with online booking. The widget only offers times a qualified staff member is available — empty schedules mean no bookable slots.
- Use overrides for the exceptions, not the rule. Keep the weekly schedule as the baseline and reach for overrides for vacations, training days, and holidays.
- Empty column on the calendar? That staff member has no availability set for that day. Add a schedule or an override.

Title: Set who's working — staff scheduling Length: ~70s
[Open on Manage → Staff, click a groomer.]
"Woofpos only lets people book time that actually exists — and that starts with each groomer's schedule.
[Open the schedule section.] On a staff member's page, set their working week: the days they're in and the hours they work. Save it, and their column on the calendar fills in with bookable time.
[Add an override.] Real life happens — a day off, a late start, a holiday. Add an override for that one date, and it takes over just for that day without touching the weekly pattern.
[Cut to the calendar / booking widget.] Now the calendar and your online booking page both show the truth: open slots only when someone qualified is actually working.
Set it once, adjust with overrides — and stop the double-bookings before they happen."
