The AI voice agent answers your shop phone when you can't — and actually books grooms. It picks up, talks to the caller, finds an open slot, and creates the appointment on your calendar. It can also confirm, reschedule, and cancel, and it hands off to a human when it should. Every call is logged with a recording and a transcript.

What you can do

  • Get a dedicated phone number and an AI agent in about two minutes.
  • Let it Schedule, Reschedule, Confirm, and Cancel appointments — each capability is toggleable.
  • Give the agent a name, an opening message, and a closing message.
  • Turn it on or off ("on duty" / "paused") anytime.
  • See call stats — Handled, New appointments, Existing appointments, Inquiries — over the last 7 days.
  • Open any call to read the transcript and play the recording.

How to set it up

  1. Open AI agents in the sidebar.
  2. On the Inbound voice option, optionally give your agent a name (e.g., "June") and enter a 3-digit area code for its phone number.
  3. Click Set up. Woofpos buys a number in that area code and creates the agent.

Cost: roughly $2/month for the phone number plus per-minute charges for call audio. You'll confirm before anything is purchased.

  1. Call the new number to test it — then point your shop line at it (or publish it) when you're happy.

How to configure the agent

Once live, open the agent card to set:

  • Agent name — what it calls itself.
  • Capabilities — toggle Schedule / Reschedule / Confirm / Cancel on or off.
  • Opening message — the first thing callers hear ("Thanks for calling…").
  • Closing message — how it signs off ("…see you then!").

Save, and the agent picks up the new settings on its next call.

Reading the activity feed

The Activity list shows recent calls: who called, the outcome (new appointment, existing appointment, or inquiry), and the call length. Click any call to open the transcript and play the recording — great for coaching and for catching anything the agent handed off.

Tips & best practices

  • Start with Schedule. Most shops begin with booking-only, then enable reschedule/confirm/cancel as they build trust.
  • Test before you forward. Call the number yourself and book a test groom to hear how it sounds.
  • Keep your services and schedules current. The agent books against your real reservation types and staff schedules — accurate setup means accurate bookings.
  • Pause when you want the phone. Toggle the agent off during slow hours when you'd rather pick up yourself.
