Privacy Policy
This policy is a general template provided for transparency about how our software works. It is not legal advice. If you use WoofPOS to run your grooming business, please review this policy against the privacy and data-protection laws that apply to you and your clients.
Overview
WoofPOS provides software that helps dog-grooming businesses take bookings, collect payments, manage pet and client records, and send appointment notifications. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices available to you. It applies to our marketing website, our application, and related services (together, the "Service").
"We," "us," and "WoofPOS" refer to WoofPOS. "You" may be a grooming business that subscribes to the Service, a member of that business's staff, or a visitor to our website. Where a grooming business enters information about its own clients and their pets, that business is responsible for how it uses the Service, and WoofPOS processes that information on the business's behalf. Information we collect
We collect the following categories of information:
- Account information. When a business signs up, we collect details such as the business name, contact name, email address, phone number, and login credentials for the people who use the account.
- Business and operational data you enter. Grooming businesses use WoofPOS to record their own operational information — including their clients' contact details, pet profiles (breed, coat notes, health or behavior notes, photos), appointments, service history, and internal notes. This data is controlled by the business that enters it.
- Payment information. Payments are handled by our third-party payment processor. When a card payment is made, the card details are collected and processed directly by that processor. WoofPOS does not store full card numbers. We may retain limited, non-sensitive details such as the card brand, the last four digits, and a transaction reference to display receipts and support reconciliation.
- Usage and device data. We automatically collect information about how the Service is accessed and used, such as IP address, browser and device type, pages viewed, features used, and timestamps. This helps us keep the Service secure and reliable.
- Cookies and similar technologies. We and our providers use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. See Cookies & analytics.
How we use information
We use the information we collect to:
- Provide, operate, and maintain the Service, including booking, payments, records, and notifications.
- Send transactional messages such as appointment confirmations, reminders, receipts, and account or security notices.
- Authenticate users, prevent fraud and abuse, and keep the Service secure.
- Provide customer support and respond to your requests.
- Understand usage, troubleshoot problems, and improve features and performance.
- Send service and, where permitted, occasional product updates — which you can opt out of.
- Comply with legal obligations and enforce our Terms of Service.
How we share information
We do not sell personal data. We share information only in the following circumstances:
- Service providers and subprocessors. We use trusted third parties to run the Service — for example, cloud hosting, our payment processor, and SMS and email delivery providers. They may process information only to perform services for us and are bound by confidentiality and data-protection obligations.
- Legal reasons. We may disclose information if required by law, regulation, legal process, or a valid government request, or where we believe disclosure is reasonably necessary to protect the rights, safety, or property of WoofPOS, our customers, or others.
- Business transfers. If WoofPOS is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We will require that it remain subject to protections consistent with this policy.
Data controller vs. processor
For the account and marketing information WoofPOS collects directly, we act as the data controller. For the client and pet data that a grooming business enters about its own customers, the grooming business is the controller and WoofPOS is the processor — we handle that data only to provide the Service and according to the business's instructions and our agreement with it.
If you are a client of a grooming business that uses WoofPOS and you want to access, correct, or delete the information that business holds about you, please contact the business directly. We will support them in responding to your request.
Cookies & analytics
We use cookies and similar technologies for essential functions such as keeping you signed in and remembering preferences, and for analytics that help us understand how the Service is used so we can improve it. You can control cookies through your browser settings, though disabling some cookies may affect how the Service works. Where required, we obtain consent for non-essential cookies.
Data retention
We keep information for as long as an account is active and as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When a business closes its account, we delete or de-identify its data within a reasonable period, except where we are required to retain certain records (for example, for tax, accounting, or fraud-prevention purposes). Businesses can export their data before closing an account.
Security
We use technical and organizational measures designed to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, but we work to protect your data and to respond promptly to issues. For more detail on our practices, see our Security page.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or export your personal information, and to object to or restrict certain processing. To exercise these rights for information WoofPOS controls, email us at hello@woofpos.com. We will respond within the timeframe required by applicable law and may need to verify your identity first. If your request concerns data held by a grooming business that uses WoofPOS, please contact that business, since it is the controller of that data.
Children's privacy
The Service is intended for use by businesses and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to delete it.
International users
WoofPOS may store and process information in countries other than the one in which you live, and data-protection laws in those countries may differ from your own. Where required, we use appropriate safeguards for cross-border transfers. By using the Service, you understand that your information may be processed in the jurisdiction in which WoofPOS operates and in the locations of our service providers.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised policy.
